What is Microsoft 365 email archiving?
Bamboozle Email Archiving is a managed service that captures, indexes and securely retains every inbound, outbound and internal message in Microsoft 365, independently of the mailboxes themselves. It exists for regulatory compliance, legal hold and e-discovery — the situations where somebody asks what was sent, and the sender's mailbox is no longer a reliable answer.
Which email platforms are supported?
The service supports Microsoft 365 (Exchange Online), Google Workspace (Gmail), and on-premise Microsoft Exchange. Hybrid environments are also supported. Setup is non-disruptive — email flow continues without interruption during onboarding.
How long is email retained?
Retention periods are configurable per your compliance requirements. Common configurations are 7 years for financial services (meeting DFSA and SEC requirements) and 3–5 years for general business. Custom retention policies can be applied by sender, recipient, domain, or content classification.
Does this include data loss prevention?
DLP is a separate service with its own page — see Data Loss Prevention. It covers email alongside web uploads, removable media, messaging apps, printing and clipboard, enforced by the same agent. Archiving keeps a compliant record of what was sent; DLP stops the things that should not be sent at all.
Can archived email be searched for legal or compliance purposes?
Yes. The archive provides a full-text search across all retained email — by sender, recipient, date range, subject, body content, or attachment content. Search results can be exported in standard formats (PST, EML, PDF) for legal hold and eDiscovery requests. Tamper-evident storage ensures archive integrity.
Is the archive encrypted?
Yes. All archived email is encrypted at rest using AES-256 and in transit using TLS. Access to the archive is role-based — administrators, compliance officers, and legal teams can be granted specific search and export permissions independently.
Which compliance standards does this help meet?
Email Archiving supports compliance with a range of regulations and standards including GDPR, HIPAA, PCI DSS, DFSA (Dubai Financial Services Authority), SEC Rule 17a-4, ISO 27001 and the UAE PDPL. Our team can assist with retention policy design aligned to your specific obligations.
Does this replace Microsoft 365 native archiving?
Yes. Bamboozle Email Archiving is independent of Microsoft 365 native archiving and is not subject to the same storage limitations. It also provides features Microsoft does not offer natively — immutable storage that an administrator cannot alter, PST import for historical mail, and journal capture at the point of transmission rather than from the mailbox.
How long can emails be retained?
Retention is fully configurable — from 1 year to indefinitely. Multiple policies can coexist: for example, standard email retained for 7 years with legal hold items retained indefinitely.
Who can access the archive?
Access is role-based. Administrators set who can search the full archive, who can manage legal holds, and which users can access their own archived email. All access is logged.
Does archiving cover outbound as well as inbound mail?
Yes — inbound, outbound and internal messages are all captured, with attachments. Outbound is usually the half that matters in a dispute, and the half most likely to have been deleted from the sender’s mailbox by the time anyone asks.
Does archiving cover Teams messages?
Email Archiving covers Exchange Online email. Teams and SharePoint content is covered by SaaS Security and the broader Bamboozle Cyber Protect platform. Ask us about a combined solution.
